Description Of Incident:
- HRMS system was updated with new stored procedures to update vacation and sick accruals. This had not been and on-going issue and had been thoroughly developed and reviewed on the TEST system. Once functioning properly, all pay data was cleared out of the PROD system to start “clean” with 2010 data. In doing so, it cleared the YTD hours worked which was used as the criteria for employee 401(k) eligibility. With zero YTD hours worked, employees were no longer enrolled in 401(k).
Cause:
- Failure to realize connection between 401(k) eligibility and display of YTD hours worked.
Resolution:
- Restore hours to PROD system for immediate “fix”
- Run a Benefits Enrollment against all staff to ensure all are enrolled in the benefits for which they are eligible
- HRD to determine their choice of how to go forward – either allowing YTD hours to increase ad infinitum, or clear out hours annually and create alternate means for 401(k) enrollment
