Employee Status Change Procedure

 

  • HR will submit a ServiceTicket with details regarding the employee change (i.e. name, location, etc)
  • HR will submit a ServiceTicket with an Excel document for verification at the end of the week listing all employees affected

 

Procedure

  1. Service ticket is assigned to the Help Desk group. Tech assigned will need to do the following on each employee listed in the request:
  • Update employee’s Active Directory information i.e. title, location, extension, etc.
  • Check with the employee’s manager to verify and adjust the employee Active Directory permissions and access rights to shared folders or request an employee’s name to mirror
  • Check with employee’s manager or Lisa Healey if employee’s OSI authorities are to be adjusted
  • Update employee’s user accounts in FIS eAccess, ClickSWITCH, ServiceTicket and SCLogic
  • If employee needs a name change, Help Desk tech will coordinate with the employee what their work schedule is and change their Windows and OSI user accounts at the same time, letting the User know to use the new logon credentials the next day.

 

  1. For voicemail changes, assign the ticket to the Network\Phone group. Tech assigned will need to do the following:
  • Adjust Voicemail account as needed
  • Re-assign the ServiceTicket to the Help Desk

 

  1. For DUO account changes, assign the ticket to the Information Security group. Tech assigned will need to do the following:
  • Adjust Duo account as needed
  • Re-assign the ServiceTicket to the Help Desk

 

  1. Help Desk will close the ServiceTicket.

 

If it is an employee name change, Help Desk will coordinate with the employee what their work schedule is and change their Windows and OSI logon at the same time, letting the User know to use the new logon the next day.

Name changes for Card Wizard and FIS eAccess require recreation of the users account

 - Blanca Donahue handles name changes for Digital Insight

 - Becky Valdez or Joe Gonzales handle name changes for ACTion

 - DocuSign, Help Desk can change user name however the user will need to log on with old name and once logged on, will need to go into Member Profile \ Change Email and request email change. Once the receive the confirmation email from DocuSign, then they will log on using their new name@northislandcu.com
